FUNCTIONAL OVERVIEW

Client Requirement

Changes to Transport Order document as per local PL requirements

Create delivery documentation from MTS in Polish as per the attached specification (to allow User modification of selected fields) MTS - NW - 7RGK5C - Requirements extension


Solution

‘PL TRANSPORT Order’ will be amended as per details marked ‘Change’ in yellow in attached document. These include:

  • Updating the text of field ‘Miejsce załadunku:’ to ‘Miejsce i Czas załadunku:’.
  • Currently next to this text is an unloading locations Name and Address. This will be amended to also display Unloading Date and Time.

V1.1 amendment to address:

  • Currently the data next to text ‘Fakturę należy przesłać na adres:’ displays the Owning Depots Name and Address. This will be amended to show the static address of ‘DHL Exel Supply Chain (Poland) Sp. z o.o. ul. Bokserska 66, 02-690 Warszawa‘ on each page.
  • The ‘Order Terms’ (Warunki zlecenia) section will be amended to pick up details from MTS (see details below)
  • After the ‘Order terms’ are printed display text line ‘W przypadku jakichkolwiek problemów prosimy o kontakt:’. This will be appended with the Forename, Surname, Job Title and Contact No. from the BASED_AT location for the user printing the report. If these are not entered it will remain blank.

Ability to hold Order Terms in MTS:

It has been requested that the Order Terms that will appear on the ‘PL Transport Order’ report are held within MTS so that they can be accessed and edited by end users. This will require the addition of a new tab called ‘Order Terms’ in the Static Data Maintenance form. This tab will only be editable by users that have the tab item promoted to their group within the Access Control screen. Users that do not have the tab item promoted will not be able view the tab in the Static Data Maintenance form. A new table (REP_ORDER_TERMS) will be required that will hold 1 record of order terms that the end users can edit within the Static Data Maintenance form. At the time the report is run, the Order Terms that will display on the report will be taken from this table.

These Terms will initially be set up to display the text as they appear in the Order Terms on the attached document. The ‘Order Terms’ tab will also display fields ‘Last Updated By’ and ‘Last Updated Date’ so users can see who the last person to edit the terms was, in case they need to get permission to change them first.

Restrictions around entry of Order Terms:

When entering/editing the terms, users must ensure to hit enter/return after each numbered term to ensure each term appears on a new line in the report. Font formatting will not be applied. E.g. no bold/italic/boxed text will display on the report as in no. 4, 11 and 12 on the sample report. If users want to convey important terms they should user BLOCK CAPITALS or put dashes before and after the specific order term.

A brief description of these restrictions will appear on the new tab to remind users how data should be entered

Scope

These changes will be applied to system version 10.6 on EURTST and once approved EURPRD.


FUNCTIONAL DESCRIPTION

PL Transport Order Amendments

The amendments to the PL Transport Order report is detailed below with the corresponding amendment highlighted on the sample layout.


MAIN SECTION:

Order Terms Tab on Static Data Maint

A new tab on form STATIC_DATA_MAINT called ‘Order Terms’ will be created where users will be able to edit the Order Terms that will display on the ‘PL Transport Order’ report. Below is a mocked up sample of how the new tab will look:

Users with this tab promoted will only be able to edit the current text. This tab will only display the 1 record as only 1 set of term will exist in the database, so the use of the navigation button at the top of the screen will have no effect.
